While using the SmartMLS Sign program, you should notice many features that are similar to Authentisign. You will also encounter some language that is common between the two programs.
However, SmartMLS Sign also uses some language and features that are unique and possibly unfamiliar.
This article is designed to help you adjust to the new SmartMLS Sign platform by providing the Authentisign equivalent for terms and features you will find throughout SmartMLS Sign. In some instances, both programs use the same word/phrase for a feature or concept.

- Checkbox- a field where the participant can choose one or more options.
- Common Fields- fields the signing initiator fills out prior to sending out the signing.
- Contact- a person (buyer, seller, agent, etc.) who has been added to SmartMLS Sign for the purpose of being involved in a signing.
- Contact Group- two or more contacts that are saved together that can be collectively assigned to a signing.
- Distribution- a recipient of a fully executed signing who does not actively participate in the signing.
- Distribution Party- a signing stage used for all contacts who will receive a copy of the signing, distibuted once all participants have completed their tasks.
- Initiator- the user creating the template or signing.
- Instructions- written guidance included for participants when they receive their signing email.
- Mandatory- fields that a participant must fill out prior to completing their part of a signing.
- Markup- fields used to amend the document. Highlights, arrows and comments are examples of some of the markups available in SmartMLS Sign.
- Overlay- fields pulled from a template and applied to a signing when a user uploads their own document.
- Participant- a contact who has an active task in the signing. Signers and Reviewers are examples of Participants.
- Participant Actions- fields that are completed by the assigned participant: signatures, initials and the date the signing was completed.
- Participant Autofill- fields that will automatically be populated from the participant's contact information.
- Radio button- a field where the participant must choose a single option.
- Reviewer- a participant who is required to review the signed document in its entirety prior to the signing being completed.
- Roles- used to specify the type of contact associated with the signing.
- Sender- the user who the signing will be sent on behalf of.
- Signer- a participant who is assigned fields to complete.
- Signing Order- the signing initiator can assign the order in which the participants will execute their roles. The signing order is set within each stage and applies to all contacts within that stage.
- Strict order means there is a set order that participants will receive the document; once they have completed their portion, the document will be sent to the next participant.
- Any order means the signing will be sent to all participants at the same time- the order in which they complete their portion does not matter.
- Stage- establishes the order of a signing. The signing will be sent to the contacts in Stage 1 first, then Stage 2, Stage 3, etc. Each Stage has its own unique signing order.
- Tag- used to organize templates into a specific category (or multiple categories).
- Templates- forms that have specific fields and signing blocks set up to use in a signing.
